BANQUET FACILITY AGREEMENT

 

 

The Banquet Facility at Rockefeller's Grille entertains parties as small as 40 and as large as 175 guests, depending on event style.  A minimum of 40 people is required to reserve the banquet room.  If your final count proves less than the required amount you will be charged for our minimum requirement of 40 people.  NO EXCEPTIONS.

 

DEPOSIT:     A deposit of $250 is required 15 days from the booking date.  Cash, check or credit card is acceptable for deposit payments.  The amount of your deposit is fully refundable until 60 days before the scheduled event.  Half of the deposit will be refunded for cancellations 30 to 59 days prior to your event.  Under 30 days, there will be NO REFUND.   Please note that this is not a payment for use of the room and the full amount of the deposit will be deducted from the final bill. 

 

            TIME:     The banquet facility may be occupied, at no charge for up to 4 hours.  There will be a minimum charge of $100 for each additional hour the room is used.  All details, i.e. menu, seating requirements, etc., pertaining to your event must be finalized 10 days prior to the event.  Please understand that the banquet facility may be booked by another party before or after your event.  In order to accommodate all parties please be mindful of your arrival and departure times.

 

DECORATIONS:     You are welcome to decorate the banquet hall.  The room will be open to decorate 2 hours before the scheduled event.  Arrangements can be made to store decorations the day before the party.  If necessary, due to time constraints, decorations may be delivered and arranged by the Rockefeller Banquet Coordinator.  If decorations must be delivered earlier than 2 hours before the event, by you or a third party, i.e. floral designer or bakery; please contact the Banquet Coordinator. 

Please be aware that the following will not be permitted:

  • No tacks, staples, etc. for hanging wall decorations, tape or adhesive may be used but must be approved by a staff member. You will be responsible for any damage to the wall surface.
  • No open flames.  Candles are permitted, however, the flame must be protected by glass or suitable substitute. 
  • No confetti, or its likeness, may be used on the linens.

Linens are provided by Rockefeller's at no charge.  Rockefeller's Banquet Facility does not provide centerpieces or decorations.  You will be responsible for the removal of all decorations

 

ALCOHOL :    Bar packages are available for the banquet facility.  Drink service will not be provided from the main restaurant bar.  Be aware that there is no entrance to the main dining room from the banquet facility during your event.  To access the main restaurant guests must use the outside entrance, however, no alcohol is permitted to leave the building.   Due to Pennsylvania Liquor Control Board laws all alcohol must be purchased through Rockefeller’s Grille.  All persons consuming alcohol on site must be 21 years of age.  No alcohol will be served to anyone without proper identification.  We reserve the right to refuse service to any individual who appears to be intoxicated and/or providing alcohol to anyone that appears to be intoxicated or not of legal age. 

 

           

 

 

DESSERTS:    You are permitted to bring cake, cookies and other dessert items.  Desserts are the only outside food items permitted in the banquet room.  Rockefeller’s Grille does not offer any dessert items, however, arrangements can be made to do so for an additional fee.

Chocolate fountains are also permitted.  Please understand that you are responsible for setup, maintenance and cleanup of this equipment.  When using a chocolate fountain you must provide paper/plastic plates.  Rockefeller's Grille will provide use of our china and silver for all other desserts. 

Take out containers and/or cake boxes are not provided by Rockefeller's Grille.  Please provide your own or request the use of our containers for an additional fee.  (Take out containers will be provided for all foods prepared by our facility).

 

SNACKS:     Snack Mixes, Pretzels, Potato Chips, etc. can be provided by Rockefeller’s Grille and are not permitted to be supplied by the hosting party.  A charge of $2.00 a basket will be applied.

 

HEAD COUNT:              Final Head Count must be provided 72 hours before your event.  An estimate count will be needed 10 days prior with your final menu selections.  You will automatically be charged for the number given at the final count.  If more guests are in attendance the additional cost will be added to your final bill.  There will be no reduction in your cost if the actual guest-count falls below the final head count the day of the event. 

 

BILLING:     The bill is calculated using the Final Head Count (explained above).  There is 7% Sales Tax on food and beverages (not including alcohol) and 18% Gratuity on food and beverages (including alcohol).  The full amount of deposit will be deducted after all totals have been calculated.  The bill will be presented at the end of the function.  Payment is due the day of the event.  Arrangements may be made to pay the bill in advance, depending on circumstance.  You may pay the final bill with cash, check or credit card.

 

            DAMAGE:     Any damage that occurs during the event, the booking party will be held liable.  If you wish to have a brief inspection of the room prior to your function please make arrangements with the Banquet Coordinator. 

 

ENTERTAINMENT:     Rockefeller's Grille provides XM Satellite Radio with a wide variety of music selections, as well as a five-disc c.d. player that may be used with your own c.d. choices.  A microphone and podium are provided at no additional cost.  Projection screens, projectors, live entertainment, computers, internet hook-ups, etc. are not provided by the banquet facility.  You are welcome to hire/provide live entertainment with consideration to appropriateness and space.  If providing entertainment, please contact the Banquet Coordinator for details.

 

PARKING:     Please notify your guests that the banquet room entrance is on the side of the main restaurant building.  Parking is available in the rear and/or front parking lots.  Handicap parking is available in the front lot and a drop-off site is located by the banquet room entrance.
